7 Signs Your DAM Isn’t Working (And How to Fix It)

    A Digital Asset Management (DAM) system should make your teams work easier – not harder. But many organisations find their DAM becomes underused, disorganised, or difficult to navigate over time.

    Here are seven common signs your DAM isn’t working – and what you can do to fix it.

    1. People Can’t Find What They Need

    If users rely on workarounds (asking colleagues, saving local copies), your DAM search probably isn’t working.

    Fix:

    • Improve metadata quality

    • Simplify your taxonomy to support how your team uses the DAM

    • Align tagging with user behaviour, common business terminology and team expectations

    • Ensure the assets users need are in the DAM

    • Align your asset permissions structure with user needs

    2. Metadata Is Inconsistent or Missing

    Poor metadata leads to poor search results.

    Fix:

    • Standardise your metadata fields

    • Use controlled vocabularies and align with business terminology

    • Build a best-practice guide to uploading and assigning metadata

    • Introduce governance checks and asset review workflows

    • Ensure asset uploaders are consistent in how they apply asset metadata

    3. Duplicate and Outdated Assets

    Without proper control and governance on your upload processes, multiple versions of the same asset can create confusion and risk.

    Fix:

    • Implement version control processes

    • Take the time to clean up duplicate assets

    • Review your asset lifecycle processes and introduce archiving workflows

    • Ensure assets are tagged with expiry and review dates

    4. Low Adoption Across Teams

    If only a small group uses the DAM, it’s not delivering value.

    • Improve your training/providing training, and upskill sessions for staff

    • Simplify workflows and build workflows that meet users' needs

    • Engage with stakeholders

    • Communicate benefits clearly

    5. Workflows Are Slow or Confusing

    If uploading or approving assets feels difficult, users will likely avoid the system and seek out workarounds.

    Fix:

    • Simplify platform workflows and make changes (where possible) to your DAM user experience

    • Remove unnecessary steps to allow access to assets staff need to do their job

    • Automate where possible – both within the DAM or via integrations with other software

    • Align your asset permissions workflows and approvals with user needs and appropriate assets

    6. Permissions Are Unclear or Too Restrictive

    Users either can’t access what they need, or have too much access, creating a risk of inappropriate asset use.

    Fix:

    • Review user roles

    • Align permissions with real workflows

    • Simplify asset access structures

    • Automate the user login and assignment of user permissions

    7. No Governance or Ownership

    Without governance, your DAM will degrade over time.

    Fix:

    • Define your DAM platform ownership and DAM platform management structure

    • Establish governance processes and accountability for your DAM

    • Monitor DAM platform usage and performance

    BONUS – Your Team Doesn’t Trust the DAM

    Even if your DAM is technically functional, it can fail if users don’t trust the content in it and hesitate to rely on it as the source of truth.

    • Introduce clear asset statuses (approved, draft, expired)

    • Introduce context-based metadata to provide accurate information on how an asset can be used, its original purpose and organisational rules for use

    • Ensure your Digital Rights Management (DRM) metadata is accurate, to ensure your users can trust the asset has the appropriate copyright, licensing, and consent to match with how they plan to use the asset

    • Clean up duplicates and outdated files

    • Strengthen DAM governance and platform ownership

    • Provide targeted training and communicate how and why the DAM is the single source of truth for each asset
