7 Signs Your DAM Isn’t Working (And How to Fix It)

1. People Can’t Find What They Need
If users rely on workarounds (asking colleagues, saving local copies), your DAM search probably isn’t working.
Fix:
Improve metadata quality
Simplify your taxonomy to support how your team uses the DAM
Align tagging with user behaviour, common business terminology and team expectations
Ensure the assets users need are in the DAM
Align your asset permissions structure with user needs
2. Metadata Is Inconsistent or Missing
Poor metadata leads to poor search results.
Fix:
Standardise your metadata fields
Use controlled vocabularies and align with business terminology
Build a best-practice guide to uploading and assigning metadata
Introduce governance checks and asset review workflows
Ensure asset uploaders are consistent in how they apply asset metadata
3. Duplicate and Outdated Assets

Automate the user login and assignment of user permissions
7. No Governance or Ownership
Without governance, your DAM will degrade over time.
Fix:
Define your DAM platform ownership and DAM platform management structure
Establish governance processes and accountability for your DAM
Monitor DAM platform usage and performance

Introduce clear asset statuses (approved, draft, expired)
